Privacy Policy

This policy explains what personal data ScholarshipHub collects, how we use and share it, how long we keep it, and the rights you have. It applies to the Service at scholarshiphub.asia.

1. Who is responsible for your data

ScholarshipHub is operated by an individual sole operator based in Vietnam. For any privacy question or request, contact support@scholarshiphub.asia.

2. What we collect

• Account data: your email address, display name, and a securely hashed password. If you sign in with Google, we receive your Google account identifier and email.
• Your content: the scholarships and deadlines you track, CVs you create, documents you upload, and essay text you submit for guidance.
• Payment data: plan, amount, currency, and invoice/transaction references. Card payments are handled by our payment partner — we do not receive or store your full card number.
• Usage & device data: log data, and analytics events (pages/features used) collected to run and improve the Service.
• Newsletter data: the email address submitted through our newsletter form or account preference, subscription status, confirmation and consent/import source, and delivery or unsubscribe records. Public and account signups require email confirmation. Administrator imports are limited to addresses with documented newsletter consent.

3. How we use your data

• to provide and operate the Service and your account;
• to authenticate you and keep the Service secure;
• to process payments and send transactional email (verification, password reset, receipts, service notices);
• to send the ScholarshipHub newsletter on Wednesdays and Sundays, including scholarship-planning resources, product updates, subscription information, and occasional offers;
• to provide AI-assisted features you request;
• to understand usage and improve the Service.

Newsletter messages contain an unsubscribe link. Unsubscribing stops newsletters but does not stop essential account, security, payment, or service emails. We do not sell your personal data.

4. AI processing

When you use AI features, the relevant content — such as scholarship page URLs, CV text, and essay content — is sent to our AI provider, Google (Gemini), to generate the result. We do not use your content to train third-party models beyond providing you the feature.

5. Who we share data with (processors)

We share data only with the service providers we need to run ScholarshipHub. We do not sell data. These include:

6. International transfers

Some processors above operate outside Vietnam, so your data may be processed abroad. We rely on those providers’ own safeguards and contractual terms for such transfers.

7. Cookies & tracking

We use a strictly necessary session cookie to keep you logged in, and analytics (GA4, PostHog) to understand usage. We do not run advertising trackers.

8. How long we keep data

• Account and content: kept while your account is active, and deleted when you delete your account (see “Your rights”).
• Invoices / payment records: retained after account deletion, in an anonymised form no longer linked to your identity, to meet tax and accounting obligations.
• Security tokens and caches: expire and are purged automatically.
• Newsletter subscription: retained while active. If you unsubscribe, we retain the address and suppression status as needed to ensure we do not subscribe it again accidentally.

9. Your rights

You can ask us to access, correct, export, or delete your personal data. Email support@scholarshiphub.asia and we will action deletion requests within 30 days. When we delete your account, we remove your account, your content (programs, CVs, essays), and your uploaded files; we retain only anonymised invoice records as described above. You may also withdraw consent or object to certain processing where the law allows.

10. Security

We protect data with HTTPS in transit, password hashing, encryption at rest for stored secrets, access controls, and error monitoring with personal data scrubbed. No method is 100% secure, but we work to protect your information.

11. Children

The Service is intended for scholarship applicants and is not directed to children under 13. We do not knowingly collect personal data from children under 13; if you believe a child has provided us data, contact us and we will delete it.

12. Changes to this policy

We may update this policy from time to time. We will update the “Last updated” date and, for material changes, take reasonable steps to notify you.
